Adding and Managing Rooms

Rooms are the core of your hotel management system. Learn how to add, organize, and manage your hotel rooms effectively using InnGO's two-tier system: Room Types and Individual Rooms.
Understanding Room Types vs Rooms
InnGO uses a two-level structure for maximum flexibility:
Room Types (Templates)
Define categories like "Standard Room", "Deluxe Suite", "Executive Room" with default settings:
- Base price (e.g., ₦15,000/night)
- Default capacity (e.g., 2 guests)
- Standard amenities (AC, WiFi, TV, etc.)
- Description of the room category
Individual Rooms
Specific physical rooms in your hotel:
- Room number (e.g., 101, 102, 203)
- Assigned room type
- Custom price (can override type default)
- Availability status
Step 1: Creating Room Types
Step 1: Go to your dashboard and click the Rooms tab
Step 2: Ensure you're on the Room Types subtab
Step 3: Click Add Room Type
Step 4: Fill in the room type details:
- Name: e.g., "Standard Room", "Deluxe Suite"
- Description: Brief description of features
- Base Price: Default price per night in your currency
- Default Capacity: Maximum number of guests
- Amenities: Select from AC, WiFi, TV, Mini Bar, etc.
Step 5: Click Save Room Type
💡 Pro Tip: Create room types that match your actual hotel categories. Most Nigerian hotels use: Standard, Deluxe, Executive, and Suite.
Step 2: Adding Individual Rooms
Step 1: Switch to the Rooms subtab (next to Room Types)
Step 2: Click Add Room
Step 3: Enter room details:
- Room Number: Unique identifier (e.g., 101, A12, G-Floor-1)
- Room Type: Select from your created types
- Price: Automatically filled from type (can be customized)
- Capacity: Automatically filled from type (can be adjusted)
- Status: Available by default
Step 4: Click Add Room
Bulk Import: Adding Multiple Rooms Quickly
For hotels with many rooms, use the improved bulk import feature to add rooms efficiently. You can now enter a mix of individual, ranged, and scattered room numbers, and assign multiple room types in one go.
Step 1: In the Rooms subtab, click Bulk Import
Step 2: Enter your room numbers using commas and dashes. Examples:
• 101,102,103 → Creates rooms 101, 102, 103
• 110-115 → Creates rooms 110, 111, 112, 113, 114, 115
• 101,105,110-115,120 → Creates scattered and ranged rooms
Step 3: To assign different room types, click + Add Another Room Type and specify which room numbers belong to each type.
Step 4: Click Import Rooms to finish.
⚠️ Note: You can now import both sequential and non-sequential room numbers, and assign multiple types in one import. Double-check for typos or duplicate room numbers before submitting.
Editing Room Information
Editing a Room Type
- Go to Room Types subtab
- Find the room type and click Edit
- Update any details (price, amenities, description)
- Click Save Changes
Changes to room types automatically apply to all rooms using that type (unless rooms have custom pricing).
Editing an Individual Room
- Go to Rooms subtab
- Find the room and click Edit
- Update room number, price, or capacity
- Click Update Room
Room Status Management
Rooms have the following cleaning statuses in InnGO:
- Clean: Room is ready for new guests
- Dirty: Room needs cleaning after checkout
- In Progress: Housekeeping is currently cleaning the room
- Inspected: Room has been checked and approved after cleaning
💡 Tip: Room statuses update automatically based on check-in/check-out and housekeeping actions. You can manually set a room to Dirty, In Progress, Clean, or Inspected as needed.
Pricing Strategies
Fixed Pricing
Set one price for a room type that applies to all rooms of that type.
- Simple to manage
- Good for small hotels (5-20 rooms)
- Easy for guests to understand
Custom Room Pricing
Set different prices for individual rooms within the same type.
- Premium for rooms with better views
- Discount for rooms near noisy areas
- Higher rates for newly renovated rooms
Seasonal Pricing (Manual Adjustment)
During peak seasons (Christmas, New Year, holidays):
- Edit your room type's base price temporarily
- Or edit individual room prices
- Remember to adjust back after the season
Room Limits by Plan
- Free Plan: Maximum 3 rooms
- Starter Plan: Maximum 50 rooms per hotel
- Professional Plan: 300 rooms
⚠️ Hitting Your Limit? If you try to add more rooms than your plan allows, you'll see an upgrade prompt. Consider upgrading to the Professional or Enterprise plan.
Deleting Rooms and Room Types
Deleting a Room
- Go to Rooms subtab
- Find the room and click Delete
- Confirm deletion
You cannot delete a room that has active bookings.
Deleting a Room Type
- Go to Room Types subtab
- Find the type and click Delete
- Confirm deletion
You cannot delete a room type if any rooms are currently assigned to it. Delete or reassign those rooms first.
Best Practices for Nigerian Hotels
Room Numbering
- Use floor + sequential format: 101, 102 (1st floor), 201, 202 (2nd floor)
- Or simple sequential: Room 1, Room 2, Room 3
- Be consistent across your property
Room Types Setup
Common setup for small-medium Nigerian hotels:
- Standard Room: ₦8,000-12,000/night
- Deluxe Room: ₦15,000-20,000/night
- Executive Suite: ₦25,000-35,000/night
- Presidential Suite: ₦50,000+/night
Amenities to Consider
- ✓ Air Conditioning (essential in Nigeria)
- ✓ WiFi
- ✓ TV with DSTV/Cable
- ✓ Hot Water/Water Heater
- ✓ Generator Backup (mention in description)
- ✓ En-suite Bathroom
- ✓ Mini Bar/Refrigerator
Troubleshooting
Can't add more rooms?
You've reached your plan limit. Upgrade to the Professional plan (up to 25 rooms) or Enterprise plan (50+ rooms) for higher room limits.
Room not showing in bookings?
Check that the room status is "Available" and not set to maintenance or cleaning.
Price not updating?
If you changed the room type price but a room's price didn't update, that room may have custom pricing set. Edit the room individually.
